🚀 If you have signed up for Planday through the Xero App Store or through Xero TAS, your organisation will already be connected. You can manage your connected Xero organisations and complete the integration setup in Planday by navigating to Settings > Integrations > Overview > Xero and pressing Add.

If your organisation has been connected and you don’t wish to amend it, you can skip the steps below and proceed to the next step: Employee synchronisation.

Find and connect to a Xero organisation in Planday

In this step, we will connect to a Xero organisation and activate the integration.

If your Xero organisation wasn’t connected automatically when you signed up from Planday, you’ll need to connect it first.

Go to Settings > Integrations > Overview, locate the Xero integration, and press Add.

You will be directed to a Xero login page, and once logged in you will see an application authorisation prompt for Planday. Press Allow access to continue.

💡 If you administer multiple Xero organisations, select the Xero organisation that you want to connect with from a drop-down list before continuing.

⚠️ Please note that you need to have Payroll Admin access in Xero, to authorize this integration - Read more about giving Payroll Admin user role for Pay Run on Xero Central. Also, Payroll must be already set up, in Xero - Read more about setting up payroll on Xero Central.

If you are not redirected back to Planday, go back to the Integrations page where you can find the Xero organisation that you just added. You should now be able to see the connection to your Xero organisation was successful.

Activate the integration

If the connection was successful, go ahead and press Activate so that the Xero integration can start appearing under Your integrations in Planday.

Resolve common errors during connection

If you receive an error during connection, the setup will tell you what the error is and provide you with a link to a possible resolution.

The most common error is that the user configuring the integration does not have sufficient permissions to set up the integration. You need to have Payroll Admin access in Xero in order to integrate with Planday. Read this article in Xero Central on how to assign or remove payroll admin access for a user in Xero.

💡 You can follow the advice given in the error message or read our Xero integration FAQs article for a resolution if the error message does not help.
