Using Planday App’s Calendar synchronization function you can set your work schedule to be displayed alongside your personal schedule on your phone. You can set your Calendar app to update automatically, or at fixed intervals. The most useful benefit of this functionality is that you can see your shifts integrated into your regular calendar without having to open the app. At the same time, you can also get alerts for incoming shifts reducing your chance of missing work.

Set up iOS Calendar synchronization

To synchronize your shifts with Calendar first log into the Planday app for iOS then follow these steps:

  1. Tap your profile icon

  2. Press Sync with your calendar option

  3. Choose Sync with Calendar option from the list

  4. Press Subscribe when you are asked to add a subscription

  5. You will be shown a preview of your calendar, press Add

Your shifts will now be added to the Calendar app and can be found in the Subscribed section under Calendars.

Refreshing the Calendar App

  • Open the Apple Calendar app.

  • Select Calendars at the bottom of the screen.

  • Swipe down on the list to refresh.

Synchronizing with other calendars via link

To synchronize with other calendar applications, such as Google Calendar, you will first need to retrieve your Planday calendar's URL. To do so, follow these steps:

  1. Tap your profile icon

  2. Press Sync with your calendar option

  3. Choose Copy calendar link option from the list

Depending on your calendar of choice, the next step may require you to use a computer to input the calendar sync URL into your calendar. If you are having trouble finding this option in your calendar, it may be worthwhile to seek help documentation for the calendar software that you are using.

Google Calendar

As an example, we will add our Planday shifts to our Google Calendar using this calendar URL. First, we copy the URL shown in our Apple device's Settings as outlined above. Next, we need to open Google Calendar on our computer, in this case, a MacBook. There are several methods that we can use to send our calendar URL from phone to desktop, such as a messaging app, by mail, or by copying it manually. In Google Calendar just above My Calendars, we click the + button, then select the option From URL. When adding the calendar URL to Google calendar we need to add https:// to the beginning of the URL. Otherwise, we will receive a message telling us that the URL is invalid.
With this step complete, our Planday shifts will now be displayed in our Google Calendar.

Setup synchronization for Android calendar

The Planday app for Android now offers a calendar sync url, so you can set your work schedule to be displayed alongside your personal schedule in your calendar of choice.

While it may be possible to complete this step via the use of third party applications on mobile, Planday does not currently endorse the use of these applications, and doing so is at your own risk.

Please note that the synchronization is not instantaneous, and new shifts that you are assigned to may not show right away. As such we recommend using this feature in conjunction with the Planday app itself to keep up to date.
