How to create a time supplement

Learn how to set up a Time supplement to add overtime to employees' overtime (TOIL) accounts.

What is a Time supplement?

A Time Supplement adds overtime to employees’ overtime or TOIL (Time Off in Lieu) accounts. For example, employees may receive time compensation at a rate of time and a half (150%) for specific days, such as bank holidays, during specific times.


How to create a Time supplement?

To create a Time supplement,

  • Go to Settings > Payroll supplement and click Create.

  • Choose the supplement type Normal supplement.

  • Add a title for the supplement.

  • Under "Hourly wage," choose the option % (overtime).

  • Specify the start and end times for the supplement.

  • Enter the percentage (e.g., 150% for time and a half).

    • Example: If employees should receive 4 hours and 30 minutes for 3 hours worked (time and a half), insert 150%.

  • Choose the days of the week it should apply OR select the bank holiday calendar if the time supplement applies on bank holidays.

  • Select the employee groups and types to which it should apply.

  • Choose the applicable shift types.

  • If you don’t see this option, contact our Support team.

  • Indicate whether it affects salaried employees and breaks.

  • Specify if it applies across midnight.

  • Click Save.

Note: Shifts need to be approved in the Schedule for the hours to be added to the overtime (TOIL) account.


See an example of a Time supplement applied to an employee.

Eva works an evening shift of 3 hours. A Time supplement of 150% adds 4,5 hours to her overtime (TOIL) account. To view this her profile:

  • Go to People > Employees.

  • Edit the employee and go to the Time off in lieu tab.


Good to Know

  • If you make changes to the rate of a time supplement for a locked payroll period, the changes will not take effect. You will need to contact a Support consultant to unlock the payroll period for the changes to apply.

  • Ensure that shift types which add to or deduct from the TOIL account are not registered twice: once under the time supplement and again under Settings > Leave & Overtime > Advanced > Shift types for Time off in lieu accounts. If they are registered in both places, Planday will incorrectly add too many hours to the account.
