Revenue Import Details

How often is revenue imported?

Your revenue is imported every 20 minutes and it will automatically refresh every 20 minutes so you can monitor changes in real-time. Revenue data is fetched for a set number of days, so any updates to revenue on those days will be shown.


Does the integration include or exclude tax values?

The integration imports Gross values from mapped Floors. Including tax values and service charges is only available in the US version of the integration. If you're using the US version of the integration, follow these steps:

  • In Planday, go to Settings > Integrations > Overview.

  • Find the Lightspeed Restaurant (L Series) integration tile and click Set up.

  • In the Data import settings, check “Taxes".


Setting up the integration

Nothing happens when I click Connect account

Ensure your browser is not blocking pop-up windows, which can often lead to the log-in window not appearing.


Can I connect several Lightspeed accounts to the same Planday organisation?

Yes, it's possible. To add another Lightspeed account to your Planday,

  • go to Settings > Integrations > Overview

  • find the relevant Lightspeed integration tile and click on Set up

  • click on Add another account and add the details of that second connection

Then, you can link the relevant revenue units ( corresponding to the departments) to the relevant Lightspeed Floors.


The account needs to be reconnected

In some instances, authorisation to the connected account can fail, and the account will need to be reconnected. You can see the current status of the connected accounts displayed next to the corresponding account when you open the integration tile.

To reconnect the account, you must click on the Options button in the Integration tile and then on Deactivate.
Click on the Connect Account button and a pop-up window asking you to sign in again will appear. Once you sign in, the connection status will be updated.


Working with the integration

The integration seems to be enabled but no revenue is coming in

  • If configured correctly, the revenue will be visible at the bottom of the schedule. Make sure that Revenue is enabled in Schedule > View settings.

  • Ensure that the Enter daily revenue checkbox, located in Settings > Revenue, is selected for mapped revenue units.

  • Verify that Lightspeed Restaurant L Series Floors are mapped to the Revenue units of the relevant departments.

  • Confirm that there is at least one shift scheduled on the day when the revenue should be imported.


How can I verify imported values?

In Planday, open the Schedule page. Press the View settings button, and turn on the Revenue toggle to reveal earnings values at the bottom of each business day.

Revenue imported for a given Revenue unit is displayed in the Daily revenue pop-up.

Note: The Notes field contains the timestamp of the revenue import and a label of the revenue source. The shown timestamp reflects the UCT time zone and is not adjusted for your Planday organisation’s location!


Revenue is coming in, but the numbers are incorrect

  • If you make any changes, allow 20 minutes for the integration to update.

  • For US integration only – Check if the integration settings is excluding or including taxes under Settings > Integrations > Overview > Lightspeed L Series.


If I have manually entered the revenue in the schedule, will it be overwritten by the POS import?

Yes, it will. Revenue imported from a POS system will overwrite the manually entered revenue in the daily sales. The imported revenue is visible by clicking on the revenue value under each day on the schedule. However, your daily revenue forecast will be retained.


How do I deactivate the integration?

To stop importing revenue, you can remove individually connected Lightspeed accounts by clicking on Set up on the integration’s tile and then on Disconnect. This will stop revenue imports. Revenue previously imported into Planday will not be overwritten.

Alternatively, from the same window, click on Deactivate.
