Lightspeed Restaurant (K Series) integration – Setup guide with Planday

Automate importing your revenue data from Lightspeed Restaurant (K-Series) into Planday.

Requirements for the integration

To enable this integration, two prerequisites must be completed in Planday:

1. Set up Revenue units in Planday

You need to set up at least one revenue unit set up for each Department that you want to import revenue data for. Learn more in Set up revenue with cost centres and budgets.

To create a revenue unit in Planday:

  • Go to Reports > Revenue > Manage revenue > Create unit.

  • When setting up a Revenue unit, make sure to select Enter daily revenue for every unit you wish to map.

2. Create Shifts on business days for revenue import

Revenue can only be imported for business days in your schedule. To designate a day as a business day, ensure that at least one shift is scheduled for that day.​


Activate the integration in Planday


In Planday, go to Settings > Integrations > Overview > find the Lightspeed Restaurant (K Series) tile > click Set up.


​This will redirect you to a Lightspeed sign-in page. You must enter your email and password here.

Note: If the window with the Lightspeed K-Series log-in page did not open, make sure your browser is not blocking pop-up windows.


Step 1 – Configure data import settings

In this step, you’ll need to configure the settings for your integration before you activate it.

Overwrite existing revenue data in Planday

Select this option if the integration should overwrite the existing figures in Planday. This should be selected if the budgeted revenue is entered manually in the revenue report, or if the days being fetched have had any changes or updates made to the revenue figures in Lightspeed Restaurant (K-Series).


Include in revenue display

  • Incl. tax / Excl. tax: Select whether or not you want to include or exclude VAT in the revenue imported from Lightspeed Restaurant (K-Series).

  • Incl. Service charge / Excl. Service charge: Choose whether or not you want to include or exclude the service charge you’ve set up in Lightspeed.

Note: The product type “service charge” (usually 12.5% of the revenue corresponding to the tips) will need to be created in Lightspeed first.


Import historical revenue on-demand (optional)

The Lightspeed Restaurant (K-Series) integration lets you import daily revenue data from the past 30 days. This is useful for comparing revenue to labor costs in Planday for your current payroll period.

This step is optional, and data will be pulled every 5 minutes after activation. You can also import historical data at any time.

To import historical revenue:

  1. In Settings > Integrations > Overview, find the Lightspeed Restaurant (K-Series) integration and click Manage.

  2. Under Import historical revenue, select the number of days to fetch and click Import.

  3. Wait for the progress bar to complete as revenue is imported.

  4. Once complete, you'll see a confirmation prompt. Click Save to finish.


Step 2 – Map business locations to Planday revenue units

At least one Revenue unit in Planday is required for this step.

In the Accounts and Mappings tab, you can link Planday revenue units to their corresponding business locations in Lightspeed Restaurant (K-Series). This ensures revenue is imported into the correct departments and accurate labor percentages are calculated. Click the pencil icon to make the connection.

Here you will see all you Lightspeed Floors that you will be able to link to your Planday revenue units by clicking on the dropdowns. (1.)

Note: It’s a good idea to have a one-to-one mapping between Business Locations (sales areas) and revenue units so you can quickly review individual revenue numbers.

When you’re done, click Apply(2.) ⬆️. You’ll be redirected to the screen with the connected accounts screen under Settings > Integrations > Overview.

Close the window and click Activate integration to finish the process.
If you have multiple sites, click on Add another account and follow the same steps but for the other Lightspeed Restaurant (K-Series) account. ⬇️

See imported revenue in Planday schedule

When the integration is set up, revenue data integration occurs once a day. You can see imported revenue data in the Schedule of the Department for which you have set up a connected revenue unit.

Go to the three dots on the top right of the Schedule > View settings > activate the Revenue toggle. Revenue data will show below the day columns in the Schedule.

Tip: To see an overview of your revenue history, go to Reports > Revenue and choose the date range.

The imported revenue is the sum of the revenue values of all active Business Locations mapped to the Revenue unit from successfully connected Lightspeed accounts.

If any Lightspeed account connection does not work, revenue from the Account’s Business Locations will not count in the revenue imported into the mapped Revenue units.

Note: Incomplete revenue values will overwrite correct values imported in the past if a Lightspeed account connection stops working and if you are importing values for several days in the past.
