ℹ️ Important note: This update is only available to selected markets. If you don't see it in your portal yet, it's on its way.

We're excited to introduce a rebuilt Schedule experience in the Planday app - a faster, more reliable way to view and manage shifts on the go, for both managers and employees.

This article explains what's changing, how it affects you, and how to prepare for a smooth transition.

What's changing?

Over the coming months, we're rolling out a rebuilt Schedule to all Planday customers, market by market. The new Schedule is built on a more stable foundation, so it runs smoother and more reliably, and brings the mobile experience closer in line with Planday Web.

As part of the phased rollout, this change will happen on different dates for different markets, but the experience will be the same for everyone. Once it's live for your workspace, we will not be able to accommodate requests to continue with the old version, to protect data integrity and ensure your app runs smoothly.

Important to note: You'll receive email and in-product notifications confirming when this change happens for your workspace.

Make sure your Planday app is updated to the latest version so you have access to the rebuilt Schedule as soon as it's live. You’ll be able to leave feedback right in the new schedule, and we’d love to hear your thoughts.

For managers

  • Rebuilt Positions, Employees and Groups views remember your last-used view and collapsed sections, so you land exactly where you left off.

  • Absence and availability are shown directly in Schedule, the same way as you know it from the Planday web.

  • You will now see if employees are already working at another department, right from schedule

  • Compliance and working-time-rule warnings show up as shifts are assigned, not after publishing.

  • When assigning a shift, you’ll see availability, absence and conflict status, as well as same day shifts and overlapping draft shifts.

We're confident this update will make managing your Schedule on the go clearer and more reliable.

For employees

  • You'll check your shifts the same way you do today - nothing changes in how you access Schedule.

  • The default view is designed around how you actually check your schedule, so the information you need most is right there.

  • Open shifts you’re eligible to request show up right at the top of your schedule, with your own shifts below.

  • You’ll see shifts your colleagues have put up for sale in the schedule

  • The whole experience runs on a more stable foundation, built for a smoother, more reliable experience on the go.

How to prepare

To make sure you and your team are ready for the change, we encourage you to get familiar with the new Schedule before it arrives:

  • Update your Planday app to the latest version ahead of the rollout date.

  • Watch the walkthrough: One for managers and one for employees, with the new Schedule in action.

  • Share this Help Center guide with any team member that can find it relevant for their day-to-day work.

What's being retired

A small number of rarely-used features are being retired alongside this update, each used by well under 1% of active managers:

  • Schedule template creation and application in the app

  • Hiding and unhiding days in the app

  • Moving or deleting shifts through long-press actions

The app will still show shifts from already applied templates, and it will respect days hidden/unhidden from the web.

If you rely on either of these, reach out to our support team and we'll help you find the best alternative.

Share the news with your team

It's important that everyone on your team is aware of this change. Please take a moment to share this article with your colleagues - especially managers who plan shifts from their phone and employees who check their schedule in the app - so everyone is ready when the update arrives.
