Set up revenue with cost centres and budgets

Configure your revenue tool by creating cost centres and setting up your budgets.

To configure revenue and budget in Planday, follow the steps below:

Create Revenue units

A Revenue unit functions as a cost centre specifically for revenue tracking. Although a default revenue unit is automatically created with each new department, you have the option to set up additional revenue units for any department in Planday. This flexibility enables you to keep data and reporting separate across different operational areas.

Important note:

  • As of September 2025, new workspaces and departments will automatically have a default revenue unit created in Planday. You only need to create or edit units if you want a custom setup, such as POS1, POS2, Handheld1, or Handheld2.​

  • Existing workspaces will automatically get revenue units for new departments, but revenue units must still be created for departments added before this update.

  • You can create several revenue units per department, but you can’t have several departments attached to the same unit.​

You can manage and create revenue units in the navigation bar on the left of the page under Planday Web > Reports > Revenue > Manage > Revenue units.

Click on Create unit to create a new Revenue unit and click on an already existing revenue unit to edit it.

In the edit window, you can configure the following settings:

  • Unit name - Provide an appropriate name for the unit

  • Department - Choose the department in which you want to create the unit.

  • Description - Optionally, you can enter a description.

  • Allow employee purchases - This field is typically unchecked, unless you want to allow employee purchases for the unit.

  • Enter daily revenue - Ensure this box is checked to allow the entry of your daily revenue (which represents your sales forecast).

  • Include in total revenue - This box is selected by default. If unchecked, the revenue generated by this unit will not be included in the total revenue.

  • Unit sort order - The area with the lowest number is displayed first. You are free to use this field or not.

After configuring these settings, confirm your choices by clicking Save.


Enter your daily revenue forecast

You can enter your daily revenue forecast so can retain it without overwriting the figure with your actual revenue and you can keep both data points for your records.

Go to Planday Web > Reports > Revenue > Choose View data by Days, Weeks or Months > Enter your revenue forecast.

Note: This forecast will show in the schedule so you can have a record of this while you schedule.


Set weekly or monthly budgets

With the basics of revenue in place, you can go to Budgets via the navigation bar under Planday Web > Reports > Revenue > Manage. Here, you can configure weekly or monthly budgets for both revenue and payroll percentage.

For more efficiency, you can use previously weekly and monthly budgets by applying budget templates from other Planday departments under Planday Web > Reports > Revenue > Manage > Budgets > Apply from template. You can select a department and year to use as a budget template.

Changes to the values can be made before clicking on Save.

You can also upload an Excel file under Planday Web > Reports > Revenue > Manage > Import to import revenue or daily budget data. You can review and edit the rows before saving.

Please note the following formats when importing revenue or daily budget data:

Revenue: The Excel file must contain a header row followed by data rows with these columns in order: Date, Revenue unit, Revenue, Description.

Daily budgets: The Excel file must contain a header row with these columns: Date, Department, Revenue budget, Payroll % target, Payroll budget.

If you’ve enabled department-specific budgets within the advanced settings, you’ll have the option to enter the budget and payroll percentage forecasts for each of your department, depending on your operational goals. Entering these forecasts allows you to compare your actual values with those in the overview.

⬆️ Ensure that you select the correct department, the right budget interval (weeks or months) and the right date range, then click on the Edit values button on the right.

The following example is for the budget per week option.

  • 1️⃣Payroll % target (week): You can specify here how high your pay percentage (in %) should be per week.

  • 2️⃣You can also enter a payroll % target distributed per day of the week. In the schedule, the payroll percentage target that you entered for each day will be displayed under the respective days.

Note: By clicking the Copy icon via the three vertical dots, 3️⃣ you can replicate these values to all fields (Revenue forecast and the weekly and daily payroll %) in the rows below. You can change the data in each field later, if needed.

  • Optionally, you can also enter any Payroll costs not on the Schedule

  • Additionally, you can add a Note

Confirm your settings by clicking Save.

Note: While you can set a monthly budget, it won't be displayed on the schedule.
