We’re excited to introduce Timesheets, a new and improved way for you to view, approve, and manage all worked hours, shift details, and paid hours.
This article explains what’s changing, how to prepare, and where to find support to ensure a smooth transition for your team.
What’s changing?
Over the coming weeks, we’ll be rolling out Timesheets to all Planday customers. To support this improvement and create a more streamlined experience, we’ll also begin to phase out the Punch Clock shift approval method.
As part of the phased rollout, these changes will happen on different dates for different customers, but the process will be mostly the same and here’s an overview of what to expect:
Timesheets: This will become the new and exclusive tool for managing, viewing, and approving worked hours for your team both on Planday Web and Planday App.
Punch Clock Approval: This approval method will be removed from your workspace once Timesheets are available, helping streamline the process of approving worked hours.
Schedule Approval: This method of approving shifts will remain available as an additional tool for selected workspaces during their transition to Timesheets.
Important to note:
You will receive email and in-product notifications confirming these changes that will happen for your workspace.
Make sure your Planday App is updated to the latest version so you can access Timesheets in the Planday App.
Accessing Timesheets: Web vs. App
Timesheets are designed to meet you where you are, but the experience is tailored to the device you are using.

The Planday Web – full control and overview:
The web interface is your headquarters for advanced management and extra actions. It is the only place where you can see approved timesheets, undo an approval if a mistake was made or look back at historical data.
The Planday App – quick, on-the-go actions:
Timesheets in the Planday App are built for speed and show the last 14 days of activity. Managers can review and approve individual shifts directly from their phones. Tap into any timesheet to edit shift times, add breaks or toggle off automatic breaks.
Please note: Once a Timesheet is approved on the app, it will disappear from your app's list to keep your view focused on what still needs your attention. To unapprove a shift, you can go to Timesheets on Planday Web and filter for approved shifts.
How will this impact you?
Once Timesheets is enabled, all your shift approvals and corrections will be managed through the Timesheets feature, with Schedule approval remaining available as a supporting option.
The Punch Clock approval function will no longer be available. If you visit the old Punch Clock approval page after Timesheets is released, you will see a clear link guiding you to the Timesheets page, so you can continue approving worked hours without any interruptions.
We are confident that Timesheets will provide a more streamlined and accurate process for managing working hours, making payroll and staffing cost approvals even easier.
How to prepare
To make sure your team is ready for the transition, we encourage you to familiarise yourselves with Timesheets before the old methods are removed. Here’s how you can get started:

In-App Tour: When Timesheets goes live on your Planday, you will see a pop-up tour that guides you through the key features.
Important dates
You will receive direct and timely communication via email and in-product notifications from us regarding the exact dates, first when Timesheets will be enabled and then when the older approval methods will be removed.
Be sure to keep an eye out for that information so you and your team are ready for the change.

It’s important that everyone on your team is aware of these changes. Please take some time to share this information with your colleagues and ensure that everyone who handles shift approvals is prepared to use Timesheets.
