Learn essential actions around working with shifts in the Planday web and the Planday app.

  • These examples use the Employee view by default, but the functionality is the same across other schedule views.

  • Screenshots may vary slightly between Android and iOS, but the steps are similar.


How to move shifts on the schedule

To move a shift drag and drop the shift to the desired day for the employee.

  • This is especially useful in Employee view, where you can drag open shifts directly to an employee to assign it.​

  • If an open shift is assigned to a different employee group than the employee’s, you’ll need to select the appropriate employee group first.

Move shifts in the Planday app

  • Press and hold a shift, select Move, then tap where you want to place it.

  • Ensure the blue plus icon appears before you can move the shift to that location.


How to copy shifts on the Schedule

There are a few ways to copy a shift:

  • Option 1 – Hold Alt/Option (Mac) or Alt (Windows) and drag the shift to the new location on the schedule until a green plus sign appears.

  • Option 2 – Alternatively, click the three dots on the shift and select Copy shift.

  • Option 3 – You can also create multiple copies when adding shifts.

Copy shifts in the Planday app

  • Press and hold a shift, select Copy, then tap where you want to place it.

  • Ensure the blue plus icon appears before you can duplicate a shift to that location.

How to delete shifts from the Schedule

You have several ways to delete shifts:

  • Option 1 – Open a shift, then select Delete at the bottom of the edit window.

  • Option 2 – Click the three dots on a shift and choose Delete shift.

  • Option 3 – Check one or more shifts and press Delete in the edit bar.

  • Option 4 – To delete all shifts for the week, go to Schedule > Tools > Delete this week.

Note: When deleting, consider notifying employees via Planday message or SMS (SMS charges may apply).

Delete a shift from the Planday app

  • Press and hold the shift, select Delete, and confirm.

    • Optionally, notify the employee by activating the slider.

  • If editing a shift, scroll down to find the Delete shift option.


How to approve shifts from the Schedule

Please note:

Approving allows you to mark in the schedule that shifts have been completed and that they're ready for payroll.

You have several options for approving shifts from the Schedule page:

  • Option 1 – Open a shift, select the option Approve shift for payroll then press save.

  • Option 2 – Select one or more shifts and press the Approve button from the action bar to approve.

  • Option 3 – Hover over a shift, click the three dots, and press Approve.

  • Option 4 – For multiple shifts, go to Tools > Approve multiple shifts, select the days, and press Approve.

Approved shifts appear as 🟢 green on the schedule. Approving shifts marks them as completed and ready for payroll.

Approve shifts from the Planday app

Tap a shift, scroll to Ready for payroll, switch the slider, and confirm with ✔️ (Android) or Save (iOS).

If you use the Timesheets functionality, see the guidance below:

  • In the Requests widget, press Timesheets.

  • Select a timesheet entry and tap Approve. If needed, tap the edit icon to make corrections before approval.
