Overview of the Nourish integration
The integration provides a one-way sync from Planday to Nourish, where Planday is the source of truth for the staff information sent through the integration.
Key functionalities of the Nourish integration:
Creating new employees in Nourish when they are added in Planday
Updating employee details when information changes in Planday
Deactivating or archiving staff in Nourish when they are removed from a linked Planday department
Mapping Planday departments to Nourish services
Filtering employees to be included in the sync
Assigning an initial Nourish role from Planday
Receive notifications when a staff member cannot be created or updated
Updates will be sent automatically in real time through the integration from Planday to Nourish, avoiding manual export and export from one system to the other.
Set up the integration
Before you start
Make sure you have:
Administrator access to your Planday and Nourish accounts
Access to the Nourish services you want to connect
A clear understanding of which Planday departments should map to each Nourish service
An agreed approach for which employee groups and employee types should be included
The appropriate Nourish roles available for the staff you want to sync
We recommend reviewing your department structure, staff filters, and role setup before confirming the integration.

To connect your Nourish integration to Planday:
Go to Settings>Integrations>Overview
Find the tile concerning the Nourish integration (you can filter this using the HR filter)
Click the Set up button
Enter the Click Add service and enter the generated token into your Nourish extensions. Please note that each token should only be used for one service.
Once the tokens have been put into Nourish, they should show as “Saved successfully” and display the name of the connected home.login details for Nourish.
When this is done, you can start the setup configuring the integration to Nourish. Connect your Nourish services

On the next screen, select which Planday departments (right side) should be connected to each Nourish services (left side).
Review these mappings carefully as an employee membership to a department affects which Nourish services they are included in. Incorrect mappings may include employees in the wrong service or exclude them from being synced

The next window of the integration setup will show the employees already available in Nourish and offer to match them to an existing employee in Planday, following a corresponding email address and first and last name.
On the left side, find the list of employees available in Nourish. On the right side, select either:
The corresponding employee in Planday if already created
To create an employee in Planday.
If you choose to create an employee in Planday, you will be prompted (on the next screen) to select their department, employee group and employee type.
Before moving to the next window, please take the time to check the different selection and that the people shown are the employees you expect to manage in Nourish. This is very important as if some information does not match between Planday and Nourish, it will be overwritten with the information from Planday as it is considered as the source of truth.

Following the previous selection, you can now select which employees will be synced to Nourish
You can either select to:
Sync all employees in mapped department: all employees mapped in the previous steps will be synced from Planday to Nourish
Apply filters: you can also select to sync some defined filters like employee groups or employee types. This can be useful, for example, if you want to exclude staff who do not need access or be synced to Nourish after the initial import.

The next page of the setup Planday allows you to provide the initial role in Nourish for each employee. You will see your list of Planday employees on the left column. You just need to select the correct role for each of them in the right column.
After the initial setup, role management will be handled in Nourish. This means that subsequent role changes should be managed in Nourish.
The role is mandatory information for the initial syncing of the employee with Nourish. If it is missing from the employee, they cannot be created and the administrator will receive a notification.

his is the last part before completing the setup. Take a moment here to review one last time the following items:
The mapping of Planday departments to Nourish services
The employees included using the filters
The list of matched and unmatched employees
The roles assigned to employees
When you are satisfied, click on the button confirm setup on the bottom right corner. The selected employees will be sent to the connected Nourish services.

As soon as setup is completed, changes made in Planday to the employee profile are sent to Nourish through the integration.
The following information are synced from Planday to Nourish:
First and last name
Email address
Phone number
Date of birth
Department
When a staff member is removed from a linked Planday department, the corresponding staff record is archived in Nourish rather than deleted.

The integration will notify you if a staff member cannot be created or updated. Review the issue, make the necessary correction, and the integration will automatically retry.
What information is not sent to Nourish ?
The integration does not manage the following information:
Changes made directly in Nourish
Resident or care-context data
Certifications documented in Nourish
Gender
Nourish permission management
One-off synchronisation bypassing your setup filters
When creating an employee, the gender field by default appears as “not set” in Nourish and can be adjusted there if needed.
Troubleshooting

If you created an employee in Planday but it does not appear in the Nourish, we advise to review the following details:
The departments and filters of the integration includes the one set for your employee (You can review them by going Settings>Integrations>Overview and open the Nourish integration)
The employee has a role assigned (this information can be updated at the bottom of the employee profile)
The integration has reported a missing role or another setup issue: you can see this in the notification hub and the Quick edit of the employee profile.
When these different points are reviewed and corrected, the integration will automatically re-sync.

If you find that some employees are synced to Nourish but should not, please review the following information in the employee profile and in the integration set up:
Planday department-to-service mappings
Employee group filters
Employee type filters
The configuration can be updated at any time to exclude staff who should not be managed in Nourish.
An employee should no longer be active in Nourish
An employee should no longer be active in Nourish
If you remove the staff member from the Planday department linked in Nourish, the employee will be archived in the corresponding Nourish service.
