How to edit timesheets

Learn to manage timesheets by adding missing hours, applying supplements, handling breaks, and editing approved entries.

How to edit a timesheet

You can fix incomplete or missing timesheet entries on the Timesheets page.

  • Quick edit: Click the entry directly in the list to make changes.

  • Edit icon: Click the Edit icon on the right to add details or adjust the entry.

When you click the edit icon, you can:

  • View and edit details of a timesheet, and approve changes immediately.

  • Discard changes using the close button at the top.

  • Delete the timesheet entry.

Note: Deleted timesheets cannot be recovered. Use this option carefully, as Planday cannot restore deleted entries.


How to view or manage the Shift types and split timesheets

To view or modify the Shift type of a timesheet entry:

  1. Go to the timesheet entry you wish to modify.

  2. Click on the drop-down located under the heading Shift type and select a new one.

Where split shifts are suggested, such as in the case of Time off in lieu or overtime:

  1. Go to the timesheet entry you wish to modify.

  2. The shift(s) split based on Punch Clock deviation rules will show the breakdowns between the Normal and overtime Shift types.

  3. These can be updated to another Shift type as needed.

For employees working across departments in one shift:

  1. Open the relevant timesheet entry.

  2. Click + Add

  3. Choose the department, then select the group, position, Shift type, and approved time for this part of the shift.

How to manage breaks in timesheets

To view, add or edit a break:

  1. Click the edit icon on a timesheet entry that you wish to add or edit a break.

  2. Under the section titled Break, you can take the following actions:

    1. View existing breaks: See details such as if the break was paid or unpaid, its start/end times, duration, and whether it was applied via a Punch Clock entry or manually added.

    2. Add a new break by clicking on the +Add button, selecting either Paid or Unpaid, and entering the approved time for the break.

    3. Edit existing breaks by toggling between Paid and Unpaid or adjusting the start and end times as necessary.

Depending on the type of breaks added, you can view a summary under the timesheet. It includes total hours worked, unpaid hours (such as breaks), and paid hours that will be approved for payroll.

How to manage payroll supplements in timesheets

Note: The Payroll supplements tab only appears for users who have permission to add supplements (such as Administrator roles). Read more.

To manage supplements (view, add, or edit) in a timesheet entry, follow these steps:

  1. Click the edit icon on the specific timesheet entry.

  2. Switch to the Supplements section.

Here you can add or update supported payroll supplements to the timesheet entry.

How to edit an approved timesheet

To edit an approved timesheet:

  1. Go to the timesheets page and switch the status filter to Approved.

  2. Locate the entry you want to modify and press the edit icon.

  3. You will see a locked entry. Click the Unapprove button to make it editable.

  4. You can now make corrections to this timesheet.

  5. Press Approve to confirm your changes or close to discard.
