How to set your work availability in Planday

Set your availability to let your schedule manager know when you can and cannot work.

What is availability?

Availability settings let you show when you prefer to work and when you’re not available. Many managers ask employees to share their availability before creating a balanced schedule. This might mean marking whole days as available or unavailable, selecting preferred working hours, or choosing specific shift types like day, noon, or night shifts.

Keep in mind, your availability preferences are taken into account at your manager’s discretion and don’t guarantee you won’t be scheduled during those times.

Sometimes, your manager may lock certain availability periods, meaning you can’t change them yourself.

Note: Marking yourself as unavailable does not guarantee time off and your manager can still assign shifts during those times. To be sure you're not scheduled, please submit a time-off request instead.


Update your availability using the Planday app

To set your work availability from the app:

  1. Go to Planday app > tap More at the bottom right, then press Availability.

  2. Tap Edit at the top right.

  3. Choose one or more dates and mark your preference as Available or Unavailable.

  4. Optionally, add a comment for your manager if you want to share extra details about your availability. Press Done to save your preferences.


Update your availability from Planday web

To set your work availability from a browser:

  1. Log in to Planday web and go to Your availability.

  2. Select the days you're available or unavailable for shifts. Your choices are saved automatically when selected from the dropdown.

  3. To add extra details, hover over a day and click the Edit icon to leave a comment for your manager.

This helps your manager create a schedule that better fits your preferences.

Tips:

  • Some dates or periods may be locked by your manager based on your workplace policies.

  • If a schedule has already been published, you’ll see “On duty” next to those days in this list.

  • Use the Planday app to update multiple days at once for quicker bulk edits.
