July & August wrapped up with a few updates and cool new features added to Planday. Here's what's new:


Web:

Activate Multi-factor Authentication for extra security

We're excited to introduce Multi-factor Authentication (MFA), also known as 2-factor authentication, for your Planday account. Implementing MFA adds an extra layer of security to your account, significantly reducing the risk of unauthorised access. This innovative feature enhances the protection of your account by requiring more than just a username and password.

  • By default, MFA is not activated. You have the option to enable authentication through either an Authenticator app or SMS.

  • Go to Settings > Security > Multi-factor authentication to configure MFA for your Planday.

New settings page menu

Hand in hand with our efforts to modernise and simplify Planday, we have changed the Settings page with a modern new look. This change introduces:

  • Consistency with Planday’s new interface.

  • Tighter menu, providing more space for content on settings menu pages.

  • Option to collapse the menu to see settings pages in full-screen mode.

    • This is useful on content-heavy pages such as Payroll supplements, where admins can see a full-page overview while making changes.


Set the cost of Open shifts based on Employee group

We have changed the way we calculate costs of Open shifts. Now Open shift costs are based on the Employee group’s Default wage if your Planday is set up to include costs of open shifts.

  • If you would like to utilise this feature, contact our support team so we can enable this for you.

  • This setting can be found under Settings > Reports > Revenue > Open shifts

New Working time rule: Minimum hours off after Shift type

A new rule, 'Minimum hours off after Shift type', has been added to Working time rules. This rule helps Schedule managers make sure employees have a gap between shifts when a certain type of shift is assigned. It's handy when you label shifts as overtime and want to guarantee that employees have time off in between work hours. You'll see a warning message if you try to schedule a shift for an employee without the required minimum gap.

  • In Planday, go to Settings > Schedule > Working time rules > Create. Here you'll find a Working time rule with the type Minimum hours off after Shift type.

Define custom budgeting periods with Data centre (Pro / Enterprise)

There is now a possibility to add custom periods instead of relying on daily metrics in the Data centre to better forecast and budget shifts in the schedule.

  • If you would like to utilise this feature, contact our support team so we can enable this for you.

  • This feature can be found in Planday under Reports > Data Centre > Data sets

App

Improvements to the Planday app 9.4.x

  1. Shift length duration and total breaks duration is now visible in the shift details timeline. This should help employees know if they need to fill more hours to fit in their planned work or see how long their total break duration will be for the shift.

  2. You can now collapse or expand the shift details timeline. This will benefit those that take flexible breaks and thus don't need to see a detailed breakdown of their breaks.

  3. To easily distinguish shifts with Shift types, the shift type colour is now shown as a leading icon with the rest of the information shown on the shift details page.

  4. The Comment section inside the shift has been renamed to Shift note. This will be useful for employees whose managers add a lot of notes on the shift.

5. The employees can now see if there’s a shift swap request to attend to or if the swap request needs a manager’s approval. Previously only the employee who made the request could see the shift's status.

6. The employees can now see basic information about the requested swap when they tap ‘Show details’. Additionally, they can also jump to view their colleague’s shifts directly from the swap details screen.

Make sure to use the latest versions available for Android or iOS, updating to newer versions as they are released.

New integration partners listed

The following new integration partners are now listed in the Integrations section in Settings to provide you with greater visibility over our ecosystem. The listings provide you with an overview of the integration functionality, a summary of setup steps and useful links.

  • All Gravy — The integration syncs employee data and pay information to All Gravy to provide employees with a portion of their pay ahead of payday. Their app also facilitates employees' budgeting, communication and e-learning. Available in the UK and Denmark.

  • Apicbase — The tool imports pay data from Planday to provide you with detailed analysis of your business including labour costs. Available in Europe, North America and Australia.

  • citrusHR — The integration syncs employee data from citrusHR to Planday to automate employee provisioning and ensure that your employee data is always up today. Available in the UK.

  • ExpertLMS — The e-learning system offers a wide range of courses for hospitality and other industries and simplifies your employee trainings. With the integration, your employees are automatically synced into ExpertLMS so you can manage employees exclusively in Planday. Available in the UK.

  • Quickorder — Integrate the Point of Sale system with Planday to make your scheduling even smarter with an overview of your past revenue right in Planday’s Schedule. Available in Denmark and Norway.

  • Runwell — Let your next inspection run well with this digital tool for streamlined operations and simplified health and safety at workplace. With the Planday integration, Runwell incorporates Planday schedule data with their task management to make you work smarter. Available in Scandinavia, Finland and the UK.

  • Superb — POS system importing revenue into Planday. Available in Scandinavia, the UK, Germany, the Netherlands, Spain, Italy, USA, Canada, and Australia.

Support for self-checkout in more countries

We've enhanced how you can become a Planday customer across the globe. Admins in many more countries can now use the self-checkout in the Account section to upgrade their Planday plan. Instantly access the Plus package's complete feature set, saving time and empowering you to manage your plan changes yourself.

The self-checkout is now available in these countries:
Austria, Belgium, Bulgaria, Canada, Czech Republic, Estonia, Finland, France, Greece, Hong Kong, Hungary, Iceland, Ireland, Italy, Latvia, Lithuania, Luxembourg, Malta, Netherlands, New Zealand, Poland, Portugal, Romania, Singapore, Slovakia, South Africa, Spain, Switzerland besides countries already supported Australia, Germany, Denmark, Norway, Sweden, and United Kingdom.

  • If you are on a Starter package and want to upgrade, go to the Account section under your profile > switch to Plans> and press Upgrade under the Plus plan.
