Allow employees to punch in for an unscheduled shift

Enable your employees to clock in even when they don’t have a shift assigned on the schedule.

When would an employee punch in extra?

There are two situations where employees may need to clock in for an unscheduled shift:

  1. They don’t have any shifts scheduled for the day - An employee may be asked to cover a last-minute absence, help during a busy period, or come in on a day they weren’t originally scheduled. In this case, they can punch in and create an extra shift (if enabled by the admin, Off by default).

  2. They already have a scheduled shift but need to clock in for an additional shift - For example, an employee may finish their planned shift but be asked to stay longer after punching out or return later the same day. With the additional feature activated by Planday support, they can punch in for an extra shift after completing their scheduled one.

Follow the guides below to enable these scenarios in your Punch Clock setup.


Scenario 1: Punch in without a shift scheduled for the day

To allow employees to punch in without a scheduled shift:

  1. Go to Planday web > Settings > Punch Clock > Advanced > Display settings

  2. Set Punch in without a shift to Yes

Once enabled, employees will be able to add an extra shift from the Planday app or Kiosk. When starting the shift, they’ll be asked to:

  • Select a Department

  • Select an Employee group

  • (Optional) Leave a Punch Clock note for the manager

On the Planday app

  1. Go to the Overview page on Planday app

  2. Press Start a new shift

  3. Select a Department and Employee group

  4. Add a note if needed

  5. Start the shift


On Kiosk

Employees can either:

  • Open kiosk.planday.com in a browser, or

  • Use the Kiosk app on a tablet

Then:

  1. Sign in with their username or select it from a list

  2. Under Select the shift you want to start, choose + Add extra

  3. Select the relevant Department and Employee group

  4. Add a note if needed

  5. Start the shift


Scenario 2: Punch in on an extra shift when a shift is already scheduled

To enable employees to punch in for an unscheduled shift in addition to an already scheduled one, an admin or workspace owner must contact Planday Support to activate the required setting.

Once enabled, employees can see both their scheduled shift and an option to add an extra shift.

On the app, employees can:

  • Go to the Overview page on Planday app

  • Swipe on the area under Punch Clock where a shift has ended or a future shift is awaiting

  • Press Add extra shift

  • Select a Department and Employee group

  • Add a note if needed

  • Start the shift

On Kiosk, employees will see their existing shift as well as an option to + Add extra and they can select one that is relevant to start their shift.


Important notes about shift approval and visibility

Before the hours will count as approved, a manager must approve all unscheduled entries under:

Please note: The extra shift will not appear on the Schedule page until the extra entry has been approved.
