Requirements for the integration

To enable this integration, two prerequisites must be completed in Planday:

Set up Revenue units in Planday

You need to set up at least one revenue unit set up for each Department that you want to import revenue data for. Learn more in Set up revenue with cost centres and budgets.

To create a revenue unit in Planday:

  • Go to Reports > Revenue > Manage revenue > Create unit.

  • When setting up a Revenue unit, make sure to select Enter daily revenue for every unit you wish to map.

Create Shifts on business days for revenue import

Revenue can only be imported for business days in your schedule. To designate a day as a business day, ensure that at least one shift is scheduled for that day.

Request details from Tevalis

Before you can set up the integration, you need to contact Tevalis support to request the following details:

  • Your Tevalis Company ID.

  • Your Tevalis Secret.

Please be aware that the sales areas that you want to import revenue data from need to be set up as permanent and not general sales areas in Tevalis. Tevalis support can assist you with this.

Activate the Tevalis integration

Connect to Tevalis

If you have several Planday organisations, you can only connect one Tevalis account to one Planday organisation. Connecting the same Tevalis account to different Planday organisations will disconnect it.

  • Log into Planday and go to Settings > Integrations > Overview.

  • Find the Tevalis integration in the POS category and click Set up.

  • Enter the Company ID and the Secret, which you received from Tevalis support.

  • Click Connect. If the connection fails, please check that you have entered the correct connection details from Tevalis.

Configure integration settings

1. General settings

  • Select the number of past days you want to fetch data for. The integration will update the revenue numbers from Tevalis for the number of prior days chosen, so any changes to the revenue data will also appear in Planday. We recommend not to input the maximum value: 30, as this sometimes causes issues with the integration.

  • Tick Overwrite existing data: This should be selected if the actual revenue is entered manually, and to ensure that the revenue data keeps being updated throughout the day and the right total is sent at the end of the day. It won’t overwrite data from previous days.

  • Enter the earliest start time and latest end time for any workday. These times need to be between 6am and 5.59am.

  • Incl. tax or Excl. tax: Select if you want to include or exclude VAT in the revenue from Tevalis.

2. Location matching

Now you can connect the Revenue units in Planday to their corresponding sales area in Tevalis, so the revenue will be imported into the correct departments in Planday and the accurate labour percentage will be calculated.

  • Open Location matching by clicking Show details.

  • Here you will see all the Revenue units created for your business in Planday. In the dropdown menu next to the name of each Revenue unit, choose the corresponding sales areas from Tevalis. It is possible to select more than one sales area for each revenue unit, but the same sales area cannot be used for more than one revenue unit.

Select Activate and the integration will start importing your revenue data from Tevalis.

See imported revenue in your Planday schedule

When the integration is set up, revenue data integration occurs once a day. You can see imported revenue data in the Schedule of the Department for which you have setup a connected revenue unit.

Go to the three dots on the top right of the Schedule > View settings > activate the Revenue toggle. Revenue data will show below the day columns in the Schedule.

Tip: To see an overview of your revenue history, go to Reports > Revenue and choose the date range.
