Personio integration - FAQs and troubleshooting

What happens if I start the Personio integration setup but don't finish it?

  • If you close the setup flow after connecting to Personio but before the final confirmation, the integration will have a status of "pending confirmation" on the integrations page. You will need to complete the setup to begin syncing data.


What's the difference between a "daily sync" and a "full sync"?

  • Daily Syncs are designed for efficiency and only sync new changes from Personio. If you manually edit an employee in Planday, the daily sync might not correct it immediately because no new change was reported from Personio for that employee.

  • Full Syncs (which happen when you click "Sync Now" or when a new change is made in Personio for that employee) compare all data.


Does data flow from Planday to Personio?

  • One-Way Data Sync: Data flows only from Personio to Planday. Any manual changes made to synced fields (like an employee's name) in Planday will be overwritten.

What happens when an employee is deactivated in Personio?

  • The employee will be deactivated in Planday on their termination date. However, any existing shifts assigned to that employee will not be deleted and will not be changed to open shifts either. It is the manager's responsibility to handle or reassign those shifts.

Why doesn't an employee's email address update in Planday when I change it in Personio?

  • The email address in Planday functions as the employee's username for login. To prevent the employee from being locked out because they are unaware of a username change, the email/username must be updated directly within Planday instead of being synced from Personio.


Can I edit an employee's synced information (e.g., their name) in Planday?

  • No, Personio is the single source of truth, and any manual changes made in Planday will be overwritten by the data from Personio during the full sync. All changes to employee data should be made in Personio.


I deactivated an employee in Planday by accident, shouldn’t it be reactivated automatically when this employee is still active in Personio?

  • In this case no changes have been made in Personio, therefore Planday does not get any signal to reactivate the user. You will have to manually reactivate the user in Planday instead. If on the other hand you deactivate and then reactivate the employee in Personio, this would be reflected in Planday because changes have been made in Personio. You can click sync now to initiate a full sync.


Why is my salary information from Personio not syncing to Planday?

  • This can happen if the currency settings in your Personio and Planday accounts do not match.

    The integration does not synchronize different currencies or calculate exchange rates. For example, if your Personio currency is set to EUR and your Planday portal is set to DKK, the salary data will not be imported. To ensure salary data syncs correctly, you must set the currency in Personio to be identical to the currency used in your Planday portal.

  • It could also be due to disabling pay scopes when the integration was first set-up as these scopes are optional.


Why are my employees not being imported from Personio to Planday?

  • This could be because you have required fields activated in Planday, which we don’t map. For instance if you made the t-shirt size employee field required in Planday - but this data is not available or part of the data transferred from Personio, the system doesn’t allow us to create the employee and the transfer fails. To fix this, double check that you don’t have any required fields which can’t be populated through the integration.


Why aren't my employees with a future start date showing up in Planday?

  • This is usually because the employment status "Pending" wasn't included in the filter when the integration was set up. Only the employment statuses selected during setup get synced, so if a future-start-date employee's status in your HRIS is "Pending," they won't be imported until that status is added to the filter.


How do I get employees with a future start date synced into Planday before their actual start date?

  • When configuring the filter during setup (or reconfiguring it), make sure to include the employment status "Pending." This ensures employees who haven't started yet are still imported ahead of their start date.


Will I be billed for employees who are imported before their actual start date?

  • Yes. Once an employee is imported into Planday, they count toward your billed employee total from the import date.


When updating the employee group for an employee in Personio, the employee is not removed from the old employee group in Planday - why is that?

  • The integration does not delete data, that means that if you want to remove an employee from an employee group in Planday, this will have to be done manually. The only thing the integration does is add the employee to the new employee group.


Is there a visual indicator in Planday for synced employees from Personio?

  • Yes, synced employees will have a red sentence on the quick edit saying; "This user is synced with Personio"


Absence data import from Personio to Planday

How does absence show up in the schedule?

  • Visual leave indicators: Approved absences from Personio are shown on the schedule as a leave bar (green bar) so managers can quickly see when an employee is unavailable.

  • Existing shifts are left as is: If an employee already has a shift in Planday on a day where Personio reports approved leave, the shift is updated to an absence shift type based on the leave policy (by default a shift type is created with the name of the absence policy) and an Open Shift is created/not created depending on the integration setting. This setting can be adjusted by going to Settings > Integrations > Personio > Set Up.

  • Approved leave only: Only approved absences from Personio are synced into Planday; draft/pending requests are ignored.


How are partial leave days handled?

  • A note will be added to the leave in Planday clarifying that the employee is off for only part of the day.


Why am I only seeing some of my leave policies?

  • A leave policy will only be created in Planday when an absence using that policy in Personio has been transferred to Planday. This is to avoid creating policies that are not relevant/outdated.

    If you need to make adjustments to the policy (eg. change the default shift type for overlapping shifts or adjust the the duration of a day in hours) we recommend that you create a placeholder absence in Personio using that policy > sync it over > delete the placeholder in Personio. That way you will be able to adjust the policy for any upcoming absences that will be transferred.
