ā Required steps: A Planday login and a Claude account
ā¹ļø Important note: Connect with the Planday account whose access you want Claude to have. Claude sees exactly what that person sees, and nothing more.
Planday is available in Claude's connector directory. Once it's connected, ask about your schedule, your team and their holiday in plain English, and Claude reads the answer straight from your Planday workspace.
Set up the connection with Claude
Open Claude's connectors - Go to Claude > Settings > Connectors, or visit claude.ai/customize.
Find Planday in the directory - Planday is listed in Claude's connector directory, so there's nothing to paste and no server address to type. Search for Planday and open it.
Click Connect - The connector page shows the Planday address Claude will talk to, and lets you know you're not connected yet. Click Connect
āEnter your workspace address and log in - A Planday login window opens. Enter your Planday URL, for example yourcompany.planday.com, then log in with your usual Planday username and password.
Authorise the connection - Planday shows an "Allow access to your Planday account" page, listing what the Claude connector is asking for: employees and employee groups, employee types, skills, shifts, shift positions and shift types, time and cost, absence and absence settings, and contract rules.
āSelect "I have read and understood the legal notice", then choose Authorize. You'll land back in Claude, connected and ready to go.
āChoose when Claude may use each tool - The connector lists its tools under Tool permissions, split into read-only and write. For each one, choose whether Claude can use it freely, should ask first, or isn't allowed at all. A sensible starting point: let the read-only tools run freely, and ask before anything that changes the schedule.
ā
You're all set!
Note: Run this yourself at any time to see exactly what your team will see. Connecting only ever reaches as far as your own Planday login allows, and you can disconnect from the same page whenever you like.
What you can ask Claude
You don't need to name a tool or an ID. Ask your question the way you would ask a colleague, and Claude works out what to look up.
Your rota
Your rota
"Who's working the bar on Saturday night?"
"List the shifts in the Kitchen department for next week."
"What's on the schedule today?"
Your team
Your team
"Who works in Front of House, and what roles are they in?"
"How many hours is Anna scheduled for this week?"
Holiday and absence
Holiday and absence
"How much annual leave has Anna got left this year?"
"What absence policies do we use?"
Working time rules
Working time rules
"What working time rules are set up in this portal?"
"Which employee groups does the daily rest rule apply to?"
Building the rota
Building the rota
"Draft a shift for Saturday 9:00ā17:00 in Front of House, assign it to James, but don't publish it yet."
"David can't come in on Friday - can you give that shift to Anna?"
The more specific you are, the better the answer. Claude matches names to the right records itself, and walks you through drafting and publishing rather than changing anything without asking first.
What Claude won't do
It won't delete anything. Removing a shift or an employee stays in Planday, where it's recorded and can be undone by a manager.
It won't publish behind your back. New shifts are created as drafts and only become visible to your team when you ask Claude to publish them.
It can't exceed your own access. Every request is checked against your Planday permissions, so Claude can't see or change anything you couldn't yourself.
If something isn't working
What you see | What to do |
Claude connected you as the wrong person, or never asked you to log in | Your browser reused an existing Planday session. Log out of Planday, clear cookies, and connect again. |
Claude says it doesn't have permission | Your Planday role doesn't cover that action. Ask your administrator to review your permissions. |
A list looks like it's missing people or shifts | Long lists are cut short. Narrow the question to one department or a shorter date range. |
You need to point Claude at a different Planday workspace | Disconnect the connector in Claude's settings, then connect again with the other workspace address. |
Next step:
Ask Claude "What's on the schedule this week?" and see where it takes you.
