Product updates: Winter and Spring 2026

As winter gradually gives way to spring, the days are getting longer and the pace is starting to pick up again. We know that as things get busier, your time becomes even more precious.

Over the past few months, we’ve been working behind the scenes to make your Planday experience feel a little lighter. These updates focus on bringing more clarity to your scheduling, better visibility into your revenue and smoother time tracking across your daily operations.

Whether you’re planning shifts, reviewing performance or managing absences, these improvements are designed to help you stay calm and in control—even on your busiest days.

Scheduling

Building the foundation for AI in workforce management

For over two decades, Planday has been pioneering workforce management. Now we’re looking toward the future. Our goal isn’t just to make scheduling easier; we are building the industry’s first truly Agentic AI experience.

While that future is still in development, we’re laying the foundation today that already brings smarter, data-driven recommendations to your scheduling workflow.


Intelligent Shift Assignment (in Beta)

The new Intelligent Shift Assignment is here to help with the mental load of planning. It analyses your data in real time to provide a ranked list of the best matches for every shift.

Instant, fairer optimisation

Availability, contracted hours and working time rules are considered simultaneously to surface the best match for each shift. This helps you create a more balanced rota that respects your team members’ preferences and work-life balance.

Error prevention

Automatically detect potential compliance issues before they happen, even as the rota changes.

Transparent logic

Each suggestion includes a clear explanation so you always understand why a specific employee is recommended.

Shift creation and editing in the Planday App

We’ve refreshed the shift creation and editing flow in the Planday App to make planning faster and clearer. Now you can:

  • Quickly scan and assign important shift details such as breaks and shift types so shifts follow your team’s guidelines

  • Enjoy a more stable and intuitive interface designed to support busy hospitality and healthcare teams

These improvements are all about making rota planning smoother, giving you one less thing to worry about.

Note: To access all the new features and improvements, please make sure your app is updated to the latest version.


Revenue and payroll

Performance overview

The new Performance overview gives you a clearer picture of which team members and days drive the most revenue. You can now access it via the new Performance menu button under Reports > Revenue, making it easier to open and explore key insights in just a few clicks.

Please note: Access depends on your permissions and security level, so some salary data may be hidden.

With the New Performance Overview you can:

  • See top performers at a glance

  • Understand which days generate the most revenue

  • Discover which colleagues employees typically work with

  • View individual revenue contributions based on worked hours

Planday calculates revenue contribution by comparing an employee’s worked hours with the total revenue generated that day, ranking the most efficient employees at the top 🔝

New and improved HR integrations (🇬🇧 UK only)

Improved Personio integration

We’ve enhanced the Personio integration to make syncing more reliable and reduce duplicate records.

Key improvements include:

  • Unique ID mapping to prevent duplicate employee records

  • Automatic updates from the HR system overwrite changes in Planday, keeping your HRIS as the single source of truth.

  • New absence sync for HR integrations, updating approved absences every 3 hours so your schedule stays up-to-date.

  • More context in the schedule, with policy names (for example Maternity Leave) and HR comments visible directly in Planday.

New HR integrations – HiBob, Sage HR and Bamboo HR

Alongside the improvements to Personio, we’ve added new HR integrations – HiBob, Sage HR and Bamboo HR – making it easier to keep employee data aligned across systems and cover your HR needs.

To get started with a new integration: Navigate to Settings > Overview > Integrations.

Employee management

Age and Seniority visibility

To help you manage employment terms more effectively, you can now view employee age and employment seniority directly within the Employee Full Edit section. These values appear under the Personal details field, to provide overview of key employment data without extra navigation.

Whether you’re tailoring employment terms or just making sure your rota actually makes sense for your team's experience levels, the info you need is now exactly where you’d expect it to be.

Leave management

Streamlined leave approval flow

We’ve improved the leave approval experience to give you more clarity before approving requests.

A new way to view requests

A row-based layout makes it easier to manage individual leave days.

Non-working day option

You can now mark a day as a non-working day, ensuring no leave balance is deducted and automatically disabling the deduction field.

Accurate working hours conversion

For day-based policies, a new duration field converts leave days into the exact working hours for that employee, improving reporting accuracy. Planday automatically calculates working day duration by checking:

  1. The schedule

  2. Daily contract rules

  3. Policy settings if neither of the above exists

💡 Tip: You can manually adjust durations during approval or define a default working day duration in your leave policies.

Time tracking

New updates to Timesheets

Our goal is to ensure you have the best possible visibility over your daily operations with the tools already working for you in your portal, so we have released enhancements to Timesheets, with new tools for breaks and supplements 🚀

With Timesheets, you can now:

  • Add fixed manual supplements and manual supplements to the sheet directly, just as you would for a shift in Schedule.

  • Manage different break types including rule-based, punch clock, manual and adjustment breaks.

Any changes to shifts trigger a live recalculation in the background, so your records stay accurate and reliable without the manual effort.

General improvements

A number of quality‑of‑life improvements and fixes have been included in this release to make everyday use of Planday more reliable and responsive: from updates in the user interface for improved clarity and readability, to ongoing enhancements to performance and system health across web and mobile – all to make your day work.
