Introduction to Planday web for employees

Get an introduction to the basic functionality of using Planday on the web as an employee.

Overview

Welcome to Planday! This guide will introduce you to the essential features of Planday on the web, helping you manage your schedule, communicate with your team, and access key information.


Getting started: Logging in

To log in:

  1. Visit your company’s Planday URL.

  2. Enter your username and password.

Exploring the Home dashboard

The dashboard is your home base, providing:

  • Pending Actions: Review and respond to requests like shift swaps or leave approvals.

  • News and Events: Stay updated with announcements from your manager. You can RSVP to events directly from the dashboard.


Editing your profile

Click your name in the top-right corner to access profile settings. Here, you can:

Viewing your schedule

To see your shifts:

  1. Go to Home > Your Schedule.

  2. View any shift swap requests that are pending your or your manager’s approval.

  3. View your upcoming shifts including details such as shift times, breaks, and expected payouts after working.


Managing shifts

Swapping or handing over shifts

  • Select a future shift and choose to swap or hand it over.

  • Track the status of your requests from the same page.

  • Manager approval is required for swaps to be final.

Please note that shift swaps usually require approval from your manager before they become final.


Applying for Open shifts

  • Go to Home > Your Schedule > Open Shifts.

  • Select a shift and click Take this shift.

  • Manager approval is required for these requests before they become final.


Setting Availability

If enabled by your manager, you can set your availability to show when you’re open to taking shifts:

  1. Go to the Availability page.

  2. Mark specific days or multiple days.

Please note: This is not the same as requesting leave. Managers can still schedule you during unavailable times.

Requesting leave or time off

If leave requests are enabled on your Planday, you can:

  1. Go to Home > Your Leave Overview.

  2. Request time off or holidays based on your vacation policies.

Your manager must approve leave requests before they are confirmed. For specific leave policies and questions, talk to your employer.

Accessing payslips

If enabled in your Planday, you’ll find payslips under Home > Payslips, where you can view and download current and past payslips.


Viewing your team’s schedule

If enabled in your Planday, see your department’s schedule:

  1. Go to the Schedule page.

    1. If necessary, switch to the right department if you are part of multiple teams.

  2. View the rota in weekly, bi-weekly, or monthly formats.

  3. Check who’s working with you and find colleagues open to shift swaps.

Tip: If your employer has Contract rules enabled, you'll see a coloured ring indicator on your picture in the schedule. Hover over it to see how your scheduled hours align with your contract.

Employee list

If enabled in your Planday, you can see a list of colleagues under People > Employees. On this overview of people and groups, you might see shared details like email addresses or phone numbers or other details depending on the privacy settings of your Planday. You can also send direct messages to your teammates or manager from here.

Accessing Documents

  • General Documents: Find shared files like handbooks under People > Documents.

  • Personal Documents: Access certificates or contracts under Profile > Edit.

  • Signing Documents: Sign contracts directly from Profile > Edit > Contracts.

Please note: Personal documents are not accessible through the mobile app, but you can sign contracts via the app.

Messaging your team

Click the message icon to view and send messages to colleagues or managers.
