Learn how to use Planday Chat to message your team directly in Planday, on both web and mobile, without relying on external apps like WhatsApp or Messenger.

What is Planday Chat?

Planday Chat is an integrated messaging feature that lets managers and employees communicate directly inside Planday, instead of switching to personal apps or SMS for work-related conversations.

The goal is to keep all work communication, like schedule changes, shift swaps, quick questions and team updates in one secure, compliant place that’s tied to your existing Planday setup.


What you can do with Planday Chat

With Planday Chat you can:

  • Chat one-to-one with colleagues

  • Create and participate in group conversations

  • Reply to specific messages and use emoji reactions

  • Mention teammates to get their attention

  • Send photos, videos, GIFs, files and voice messages (app only)

  • Create quick polls for feedback (for example, to confirm stock levels or preferences)

  • See who has viewed important messages, especially from web, where viewer names are visible in more detail

Some advanced group-management options (for example, editing membership and renaming groups) may be limited or behave differently during the early rollout, especially between iOS and Android. If something doesn’t work as expected, reach out to Planday Support with details of your device and Planday workspace.


Where to find Planday Chat

Take a tour:


On the Planday app:

  1. Open the Planday app.

  2. Go to Messages.

  3. Select the Chat tab to open Planday Chat.

From here you can start new chats, reply in existing threads and send media, polls and voice notes.

On Planday web:

On web, Chat appears alongside your workspace so you can keep working in Planday while you message your team:

  1. Log in to Planday Web.

  2. Open your Inbox or Messages area in the main navigation.

  3. Select the Chat view if it isn’t already the default.

  4. The chat panel appears as a resizable sidebar, so you can keep your schedule, timesheets or other pages open while chatting.

If you’re part of the early access group, you’ll also see in-product posts or demos introducing Chat on web.


Start a new conversation with your team

  1. Go to Chat (app or web)

  2. Tap or click New chat (or the equivalent + / compose icon).

  3. Search for a colleague’s name, or select whole groups or departments

  4. Start messaging.

Who you can find here is based on who you can normally see in Planday (for example, people in your departments or locations).


Reply, react and share media

Inside any chat you can:

  • Reply to a specific message to keep conversations organised

  • Add emoji reactions instead of sending short ā€œOKā€ or ā€œThanksā€ replies

  • Mention teammates using @ to draw their attention

  • Attach photos and videos (for example, to document an incident, stock levels or a maintenance issue)

  • Send GIFs and voice messages for quick, informal updates

  • Use polls to take quick decisions with your team

Shared files, images and pinned messages can be viewed together in the conversation to make it easier to find important content later.


Manage chat notifications

To stay informed without being overwhelmed, you can adjust notifications per chat:

  • Mute a busy group chat if you don’t need real-time alerts

  • Keep notifications on for critical conversations (for example, ā€œToday’s floor teamā€)

  • Use your device’s notification settings if you want to limit when work messages can reach you, helping separate work from personal time


FAQs

Who can I chat with?

You can chat with people you can normally see in Planday. Typically, this includes colleagues in your departments or locations, in line with your access level and your manager’s configuration.


Is Chat available to everyone?

During rollout, Chat may be limited to certain organisations, markets or early-access programs (for example, Planday Panel customers). If you would like access, contact Planday Support or your account representative.


Will my old Messages be moved into Chat?

Your existing Messages remain available in the legacy Messages module. Chat is focused on new, conversational communication and is being introduced alongside the existing system, with plans to gradually replace many of the old messaging functionality over time.


How Planday Chat differs from other messaging in Planday

Chat vs. legacy Messages

  • Messages follows a more email-like pattern and is mainly used for top-down announcements.

  • Chat is designed for fast, conversational communication between managers and employees, in one-to-one and group formats.

Over time, most day-to-day conversations are expected to move from the legacy Messages page into Chat.


Chat vs. Support Chat

Planday also offers a separate Support Chat that administrators can use to contact Planday Support.

  • Support Chat is accessed via the blue help widget in the bottom-right corner of Planday Web and connects you with Planday Support.

  • Planday Chat is for internal communication with your own team and is available from the Messages / Inbox areas in app and web.

If you are unsure whether you are messaging Planday Support or your own team, check the channel name and participant list before sending.
